To manage attendance and secure necessary compliance for their live Remote Supports Demo at the 2026 NASDDDS Conference in Chicago, SafeinHome needed a structured, automated workflow that handled registration, participant data routing, document signing, and onsite session management.
The organization faced the challenge of orchestrating multiple participants across eight distinct live demonstration sessions while strictly enforcing confidentiality agreements and capturing legally binding electronic signatures.
SafeinHome partnered with Cornerstone Solutions to design and implement an integrated Zoho ecosystem—leveraging Zoho Forms, Zoho Sign, Zoho Flow, and Zoho Backstage. This setup automated the entire attendee journey from initial web submission to session booking and onsite check-in, ensuring seamless data flow and stringent legal compliance.
The Challenge
Organizing a high-compliance live demonstration at a major national conference presented several administrative and technical hurdles:

1. Seamless Lead Capture and Legal Agreement (Zoho Forms & Zoho Sign)

Custom Registration Form: A dedicated Zoho Forms interface was deployed to capture essential attendee details, including Name, Title, Organization, Email, and Session Date/Time preference.

Integrated Electronic Signature: Embedded directly within the form was the SafeinHome Remote Supports Demonstration Confidentiality Agreement. Utilizing native Zoho Sign integration, checking the acknowledgment box and signing via Zoho Sign constituted a legally binding electronic signature covering confidentiality, privacy rules (HIPAA/PHI), photography/recording prohibitions, and proprietary data protection.
2. Automated Routing and Event Registration (Zoho Flow & Zoho Backstage)

Real-Time Data Orchestration (Zoho Flow): Upon form submission and signature completion, Zoho Flow instantly intercepted the payload. A conditional decision tree evaluated the selected session date and time, automatically routing the attendee record to the corresponding event slot.

Event Structure Management (Zoho Backstage):Zoho Backstage was configured to manage the complete event architecture, housing a total of eight distinct demo sessions with structured capacities (e.g., 80 capacity per session). Zoho Flow automatically added the verified attendee as a ticket holder to the correct session inside Zoho Backstage.
3. Onsite Execution and Check-In (Zoho Backstage App)
